Excel vs Proper Scheduling Software: What Actually Breaks at Scale

Excel is a genuinely good tool for a huge range of jobs. Staff rostering, done every week, under time pressure, by whoever happens to be free that day — is not one of them. Here's specifically where it breaks, backed by research rather than a vendor's opinion.

The error rate is the uncomfortable part

Raymond Panko's research, spanning 13 independent studies of real operational spreadsheets, found that roughly 94% of spreadsheets in active use contain at least one error — and that experience level doesn't meaningfully reduce that rate. Confident, experienced spreadsheet users are not immune. The research also found that individual review only catches about half of existing errors, meaning a single person double-checking their own roster is a coin flip at best.

A weekly roster is a worst-case scenario for this pattern: it's rebuilt from something close to scratch every week, under time pressure, usually by one person, with no second reviewer. That's close to the exact profile of spreadsheets Panko's research found most error-prone.

A real, documented failure case

This isn't just theoretical. A 2025 paper from Universiti Tun Hussein Onn Malaysia studied a real Malaysian ambulance-service provider running staff schedules and salaries through Excel, and documented the actual fallout: time-consuming manual processes, overstaffing, missed schedules, and salary calculation errors — serious enough to justify building a dedicated replacement system.

Where Excel specifically breaks down for rostering
